I. Initial Information Gathering:
Equipment Report:
Consult the "Responsive Ed Equipment Report" (emailed to ISPrinterUpdates every Monday).
Locate the specific printer and its associated information (model, IP address, location).
II. Network Connectivity Checks (Printer Side):
IP Address Ping:
Attempt to ping the printer's IP address (found in the Equipment Report).
If ping is successful: The printer is likely network-connected. Proceed to computer-side checks.
If ping fails: Continue with network troubleshooting.
Printer Reset:
Instruct the end-user to perform a printer reset/powercycle. Have them unplug the printer’s power cable from the wall for 30 seconds and then plug it back in.
Give the printer a few minutes to re-establish a network connection then re-attempt to ping the IP address.
Network Configuration Report:
If the issue persists, have the user print the printer's network configuration report.
IP Address Analysis:
Self-Assigned IP (169.254.x.x):
Indicates a connection issue or DHCP problem.
Verify the printer is physically connected (power, network cable, or Wi-Fi).
Ensure the printer is configured for DHCP (not Auto-IP).
Confirm the printer is connected to the print wifi.
Incorrect IP (not 10.80.x.x):
Indicates the printer is connected to the wrong network.
Wireless: If you have the IP, log into the printer's web interface and change the wifi settings.
Printers should be on the Print wifi network
Wired:
Verify the Ethernet cable is connected to the correct port.
If moved, either move it back or escalate to the networking group.
Provide the printer's MAC address and current IP address to the networking team for VLAN reassignment.
III. Computer-Side Checks:
Printer Duplicates:
Check for and remove any duplicate printer entries on the user's computer.
Printer Reinstallation:
Remove the printer from the computer.
Re-add the printer, ensuring the correct drivers are installed.
Computer Restart:
Restart the computer to resolve potential print spooler issues (especially common in Windows).
IV. Specific Printer Considerations:
Canon Large Printers/Copiers (Wired):
Primarily focus on wired network connectivity.
Verify the network cable, and the switch port.
HP Multifunction Printers (Wireless):
Focus on Wi-Fi connectivity and DHCP settings.
HP Color Laser Printers (Mostly Wireless):
Same as the HP Multifunction printers.
Black and White Printers (Mostly wireless some usb):
Same as the HP Multifunction printers.
Poster Printers (Odd Devices):
Troubleshoot separately, as they are not part of the standard print logic setup
